The Role of the Accounting Clerk

As an Accounting Clerk, it's important to know that you'll be spending much of your time dealing with accounts receivable and payable functions.

Some of your basic duties will include: AP invoice data entry, creating AR invoices, processing incoming payments, tracking payments received, check runs, maintaining client and vendor files, and other projects as assigned by the Accounting Manager.

As the Accounting Clerk, you'll need to keep a close eye on incoming and outgoing invoices, and research any discrepancies. To be successful in this position you must be fearless. You must be able to interact with multiple people in multiple departments in order to resolve any questions or issues regarding billing or payments. It's important that you work well with employees within all levels of the organization. The people you will interact with on a daily basis include the Accounting Manager, Purchasing Clerk, Production Manager, Sales Department, and company executives.

The Ideal Applicant

If you've got previous accounting experience or education and are a great multi-tasker, organized and are fearless about your communication skills then this job may be a good fit for you. This position requires a self-starter who works well under pressure as this is a demanding and fast pace position. Your communication skills will be very important - everything from your phone skills to writing skills as you send emails to your co-workers and supervisors but also to our clients.

The accounting department is very standardized and has written procedures for how to perform virtually every task. Because of this you must be able to follow detailed written instructions.

Overall our ideal applicant is a careful, orderly, detail-oriented, person who works well under pressure.

The Accounting Clerk's Toolbox

The Accounting Clerk is equipped with a variety of tools to keep track of all the incoming and outgoing information that needs to be processed. Your most important tools will consist of accounting software, Microsoft Excel, Word, and of course email.

The Accounting Department at DPS uses general accounting software to track payables and receivables. This software is used to enter payables invoices run and print weekly check runs, enter and track client payments and amounts due and much more.

Job Description
As an Accounting Clerk you will:
  • Verifies and posts details of business transactions, such as funds received and disbursed, and totals accounts to ledgers or computer spreadsheets and databases.
  • Audits invoices against purchase orders, researches discrepancies, and approves for payment.
  • Investigates problems that vendors or purchasing agents have with obtaining payment for bills.
  • Computes and records charges, refunds, cost of lost or damaged goods, freight charges, rentals, and similar items.
  • Prepares vouchers, invoices, checks, account statements, reports, and other records, and reviews for accuracy.
  • Reconciles general ledger accounts with various registers.
  • Extracts general ledger information.
  • Compiles cost reports and revenue and balance sheets.
  • Monitors accounts payable and receivable to ensure that payments are up to date.
  • Reconciles report discrepancies and problems.
  • Codes data for input to financial data processing system according to company procedures.
  • Reviews, balances, and interprets computer reports, and makes corrections.
  • Assists employees, vendors, clients, or customers by answering questions related to accounts, procedures, and services.
Accounting Clerk Qualifications and Experience
  • Must be proficient in Microsoft Office software, most specifically Word and Excel
  • Type 35+ Words Per Minute
  • High School Diploma or equivalent required
  • Valid CA Drivers License
  • Previous experience or education
